Rindalshytter rethinks cabin construction workflows with WorkPoint 365

Rindalshytter, founded in 1964, is one of Norway’s oldest and most respected suppliers of innovative and functional cabins. Drawing inspiration from traditional building practices and historical architecture, the company delivers the full chain of services, from initial sales and project design to production and on-site assembly.

At the heart of this end-to-end process is Jon Landsem, Head of Project Management, who oversees projects after the contracts are signed. Jon ensures technical and administrative workflows run smoothly. While qualified in building design and architecture, Jon has played a pivotal role in leading Rindalshytter’s digital transformation.

Improving operations through IT modernization 

When Jon joined Rindalshytter in 2016, the company’s existing systems were struggling to keep pace with modern demands. The business still relied on outdated tools that were slow and inefficient; employees depended on paper and ringbinders. "We were inefficient in the way we worked,” says Jon. “Documents were hard to find, tasks overlapped, and the atmosphere in the office was often one of frustration."

The archive system was particularly problematic. With everything stored together in an unstructured way, employees found it difficult to gain an overview of what had been done or what still needed to be done. This lack of visibility meant that the same tasks were sometimes completed by multiple people, while other responsibilities risked being missed altogether. It created confusion, duplication, and delays that frustrated staff and slowed down projects.

The effects were felt across the organization. Teams weren’t working together as smoothly as they could, and morale in the building suffered. "Everything moved slowly,” explains Jon. "You’d often hear people saying things like: Who did that? Where’s the documentation?” 

These operational challenges were the symptom of a bigger issue: the need to modernize outdated systems. To address this, Rindalshytter sought out a modern, cloud-driven solution that could bring structure, collaboration, and efficiency to its project management processes. The rollout began in 2017, with a focus on training each department only on the parts of the system they needed most. Their input automatically generated the project documents required by Jon and his team, creating a seamless flow from sales to delivery.

The trick was to teach each department only what they needed at first. Within a week, employees were working smoothly in the new system, something I thought would take months.

The backbone of daily operations 

WorkPoint 365 has now become a core system in Rindalshytter’s daily operations. The impact has been transformative, both in terms of efficiency and company culture.

One of the most striking improvements has been in project management capacity. When Rindalshytter had five project managers, they collectively handled around 35 to 40 projects. Today, just two project managers manage the same workload, with even greater control and oversight. 

I used to be responsible for about seven projects at a time. Now I can oversee 14 or 15 projects with the same level of control because the workflow between departments simply works.

Real-time collaboration is another defining outcome. Employees across sales, design, and project management now work from the same documents, ensuring accuracy and eliminating duplication. This has had a positive ripple effect, not only on efficiency but also on workplace morale. As Jon puts it, “The administrative climate has transformed, from frustrated faces to people smiling. It’s made a huge difference.”

Mobility and flexibility have also improved dramatically. With WorkPoint 365, Jon and his colleagues can securely access projects and generate documents from anywhere, even in remote locations. Updates happen instantly, so the latest information is always available to colleagues back at the office. “It doesn’t take one hour or even 10 minutes; it takes 20 seconds. Everything is updated in real-time. ”

Reporting and financial oversight have been enhanced through a dedicated payment plan site integrated with Power BI dashboards. This provides the management board with up-to-date financial insights, making it easier to predict outcomes, identify when more sales are needed, and make better-informed strategic decisions.

Saving time and structuring success

A final game-changer for Rindalshytter has been the introduction of WorkPoint Express, seamlessly integrated with Outlook. As Jon explains:

Express saves us huge amounts of time. I can drag and drop emails or documents straight into the right project. Everything is structured, nothing is lost, and if someone is absent, another colleague can immediately see the project’s status.
