Standardised Building Blocks For Creating Customised IT Solutions

In our previous blog, IT veteran and Business Productivity Manager at ACA, Pieter Kops, explored the versatility of WorkPoint solutions, describing a varied range of scenarios where WorkPoint 365 can add real value. 

This time around, Pieter uncovers the benefits of using WorkPoint 365’s easily customisable components which, like building blocks, can be put together to create unique solutions for each client.

When it comes to handling digital documents, projects, and cases, every industry has different requirements. On top of that, companies within the same industry have their own unique workflows and processes. Sometimes, even within the same organisation, these can differ. Here’s what WorkPoint 365 can do for solutions deployment.

 

Faster customisation

For IT consultants wanting to deliver solutions that provide lasting value for their clients, this creates a real challenge because generic, one-size-fits-all solutions just don’t cut it. On the other hand, bespoke solutions can take much longer to implement – unless they’re built on a platform like WorkPoint 365. With its pre-built components and customisable templates, WorkPoint 365 enables IT consultants like ACA to build and implement customised solutions much quicker.

 

Role-based permissions

A data breach can be hugely damaging for any organisation. With any IT implementation, security is always high on the agenda. That’s why companies need the right security controls in place. With WorkPoint, it’s easy to set role-based permissions in just a few clicks. Based on their role, users get permissions to certain files and documents. This facilitates the concept of ‘just enough’ access so that users see what they need to and nothing more. 

Document and report generation

Once workflows are set up within WorkPoint 365, it becomes possible to streamline and automate processes. For example, let’s say you need a monthly report on a project. With a template grounded in project documents and data, you can create a monthly report with just the click of a button. The report can then be edited or immediately shared with relevant stakeholders – such as the customer.  

 

Integrations made easy

The modular and standardised nature of WorkPoint 365 not only makes it easier and faster to build solutions. Integrations with other digital tools – like Power BI – are much smoother as well, so you can easily create dashboards to visualise data in meaningful ways to non-technical leaders. 

File conversions 

With so many industry-standard file types available, documents produced in formats such as .docx and .xlsx often need to be converted for sharing and so on. Inside the WorkPoint 365 environment, it’s easy to convert and share documents in different formats such as PDF. There’s no longer a need to download, convert, and upload documents.

   

Automation tooling

AI might be the buzzword of the day, but WorkPoint has been able to integrate a number of powerful automations for some time now. For example, it can bring in data from sources such as Dynamics and HubSpot to auto-create project spaces. It can also automate the delegation of tasks so that the right people are notified at the right moment within a project workflow. 

Minimal ‘context switching’ 

There’s a golden rule that information needs to be stored close to where it’s most relevant. That’s why data such as working hours and stock information should always be held in an ERP system but visible, inside WorkPoint 365, when relevant to a particular project or case. With WorkPoint 365, you get a single pane of glass view over all of your documents and data.

 

A platform built on a collaborative culture

ACA actually uses WorkPoint 365 for in-house project management. Consultants rarely step outside it, except to book in their hours inside Dynamics. To make that easier, a link is created from the WorkPoint 365 environment to the relevant financial information in Dynamics. Similarly, a link is built between a new WorkPoint 365 ‘project’ and the lead in HubSpot in case there’s any data there that could enrich the project. 

If there is ever an issue or a blocker for WorkPoint Partners like ACA, the recent introduction of the Partner Enablement Team means they can get answers and guidance even faster than with the previous ticket system. Now that WorkPoint is 100% partner-driven, the collaborative culture around it is even more important.
